We are looking for an organised, hands on, self-motivated contract admnistrator to take on a part/full-time role in our Malta office. The ideal candidate will be a confident team player with sound organisational, and written and verbal communication skills and the aptitude and experience to receive and manage communications and technical data between supplier and client parties in a prompt and efficient manner.

The candidate will assist in the administration of a service agreement with a European agency, providing internal administrative support as outlined below:

Key Responsibilities:

  • Familiarisation with the relevant terms of the main contract and sub-contracts;
  • Responding to client requests, compiling quotations and proposals, compiling and collating responses within the contract timeframes;
  • Preparation of sub-project progress reports;
  • Attending weekly meetings to provide updates on the progress of respective sub-projects;
  • Performing general administrative duties such as answering calls, handling email correspondence, electronic filing.
  • Monitoring of sub-project budgets and timelines;
  • Liaison with subcontractors to compile quotations, collate reports, timesheet collection and submission to client;
  • Invoicing and checking and approval of subconsultant’s invoices;
  • Working in close relationship with and supporting the Partner in charge and other team members, both locally and abroad;
  • Assisting with the preparation of invoicing;

Requirements:

  • EU national or eligible to work in Malta immediately;
  • ability to work in a professional environment within budgets and deadlines;
  • well-developed communication skills;
  • fluency in written and spoken English; knowledge of Maltese and other languages is an asset;
  • knowledge of working with European institutions would be considered an asset;
  • sound knowledge of Microsoft Word, Excel and Outlook;
  • sound knowledge of computer filing systems;
  • good numerical literacy;
  • enthusiastic and self-motivated with a strong work ethic.
